Six Things to Look for When Touring a Venue for Your Private Event
Planning a shower, milestone birthday, anniversary, or other celebration? Touring potential event venues is one of the most exciting parts of the planning process—and one of the most important.

It’s your chance to see the space, imagine the flow of your event, and ask questions that might not be obvious from a website or brochure. Whether you’re planning something intimate or large-scale, here are six key things to keep in mind on your venue tour.
1. The Guest Experience Starts at the Curb
First impressions matter. When you arrive at the venue, try to see it through your guests’ eyes.
- Is there clear signage for parking and entrances?
- Are the walkways accessible for older guests or those with mobility needs?
- Will guests know where to go when they arrive?
A well-thought-out arrival experience helps set a welcoming tone for the entire event.

2. The Layout Tells a Story
:It’s not just about whether a space fits your guest count—it’s about how it flows.
- Is there a clear area for gathering, dining, and any other planned activities?
- Will you need space for things like a guest book, favor table, or games?
- Is there room to move around comfortably?
As you tour, picture how your event will unfold from start to finish. A good venue should help you visualize that.

3. Know the Decorating Boundaries
Every venue has rules—and they’re not all the same.
- Can you hang decor on the walls or from the ceiling?

- Are there restrictions on certain types of flowers or materials?
Asking about decorating policies early will save you time (and possibly money) down the line.

4. Menu Flexibility Is Key
Not all venues offer the same food and beverage flexibility.
- Does the venue offer in-house catering, or can you bring in your own?
- Are there options for plated meals, buffets, or passed hors d’oeuvres?
- Can the menu reflect your theme or preferences?
You don’t need to decide on a menu during the tour—but it’s helpful to know what’s possible.

5. Ask About Guest Needs and Special Diets
Even if you don’t know every guest’s needs yet, it’s good to ask how the venue handles food sensitivities.

- Are items labeled or separated for safety?
- What’s the process for requesting special meals?
A thoughtful venue will be proactive in addressing these needs.

6. Consider the Beverage Options

- Are non-alcoholic options included?
You don’t need to go over the top—sometimes, a single creative drink offering can make a big impression.
