Help! I’ve Never Planned a Corporate Event Before: A “Dear Abby”-Style Column for the Event-Curious
Dear Stephanie,
I’ve just been handed the task of planning our company’s summer outing—and I’m totally out of my element. I work in operations, not events!
My boss said, “Just book something fun and team-oriented,” and that was it. I want it to be memorable, but I’m overwhelmed by the options, logistics, and the fact that I have no clue where to begin.
How do I even start? What should I be thinking about? And how do I plan something great without losing my sanity—or my job?
Sincerely,
Panicked in Planning
Dear Panicked,
First of all—deep breath. You’re not alone. Plenty of people get “voluntold” to plan their first company event with zero experience. The great news? It’s absolutely doable—and believe it or not, it can even be fun. Let’s take it one step at a time:
1. Start with the “Why”
What’s the purpose of this event? Are you celebrating a milestone, building team spirit, or just giving everyone a well-deserved break? Knowing the “why” helps you shape the vibe—whether that’s casual and playful or more polished and professional.
2. Know Your “Who” and “How Much”
You don’t need a final guest list, but a rough idea of how many people you’re inviting (and how much you can spend) will help you avoid wasting time on venues or ideas that just won’t fit. Planning for 20 people is totally different from planning for 200.
3. Choose a Venue That Makes It Easy
Not all venues are created equal. Some may have a low rental fee—but no tables, no chairs, no food, no staff. Just you, an empty room, and a rapidly growing to-do list that includes calling your cousin to borrow folding chairs and watching YouTube videos on how to cater for 75. That’s why full-service venues are such a game-changer.
If you’re in New Hampshire or northern Massachusetts, LaBelle Winery is a great option (yes, I’m biased—but truly!). We have two beautiful locations in Derry & Amherst, New Hampshire that come with all the things you’d otherwise have to piece together:
- Indoor and outdoor spaces with great ambiance
- In-house catering, wine, and drinks
- Fun extras like golf, mini golf or wine tastings
- And best of all? A seasoned events team that actually enjoys planning!
In Derry, you could host a laid-back BBQ by the mini golf course or sip wine on our Vineyard Terrace. Amherst has cozy, elegant options like our Vintage Room or private cellar tours. You don’t have to reinvent the wheel—just show up and enjoy the ride.
4. Keep It Simple, Thoughtful & Fun
You don’t need a full-blown production. A relaxed space, good food, and a couple of engaging moments—like a toast, a team game, or even just a wine tasting—can go a long way. We’ll help you build a timeline that flows naturally so no one’s left wondering what’s next.
5. Ask All the Questions — That’s What We’re Here For
Don’t be afraid to say, “This is my first time doing this—can you help me get started?” That’s literally our job. We’ll walk you through every detail and make sure you feel confident each step of the way.
Final Thoughts:
You’re already ahead of the game by caring enough to ask the right questions. When you focus on your team’s experience and partner with a venue that knows how to bring events to life, it all comes together.
And who knows? After this, you might just be the new office event expert. (Don’t worry—we’ll keep your secret if you want.)
Cheers to a great first event,
